Reports:

Budget Info: Carolyn and Kallie met to check out current budget status and year projectory for spending. Remaining checking balance after fixed costs are paid is $33, 875.22 Reimbursements owed by House $4,283.68. Mortage Payment $25, 621.56 Property/Boiler Insurance $10,056; Liability/Bonding Insurance $2,189.25; Property Taxes $3,695.57; Accounting Fees $400.00; Repairs/Cleaning/etc $13, 296.09

*House still needs 30 more girls to pledge during the “continuous open bid”.

Fundraising efforts:

$1,003 raised—money will go towards sink in kitchen and/or main bathroom improvents. Kay will write thank you’s to current contributors.

President’s Report- Jenn called Penny to discuss repair needs with Penny. Door combo has been fixed. Dads at Dad’s Weekend are going to have a fix it time for the house! We will try to submit a few items to the list. House Cor would also like to fund a dinner during Dad’s Weekend as a thank you. Penny has requested that the security lights be fixed outside—approved.

*Recommendation made and agreed on keeping House Cor at its current size. Other interested parties could help with side projects such as fundraising as the need arises.

Officer Interaction Plan:

THETA NU VISIT:

1. Meet at 4:45pm at Safeway at Maple exit to drive to DDD. (Lindsay offered to drive) Those attending….Lindsay, Kim, Wendy and Kallie.

To Do:

  1. (JENN) Things to relay to Penny:
    1. House cor to fund a dinner for the dads on Dad’s Weekend
    2. Yes for Security Lights to be fixed
    3. Add three items to fix it list for Dad’s Weekend…bathroom paint, bathroom shelves, bathroom curtain rods over shower entry
    4. Check w/Penny on her knowledge of retaining wall and the contractor of apartments fixing it. If Penny does not know, Jenn-contact Lindsay for back up plan of locating contractor.
  2. (JENN) Contact Heidi regarding possible charges against past collegiates
  3. (KAY) Order DDD bracelets for Mary Margaret and Denise-gifts to be presented on Founder’s day.
  4. (WENDY) To work on possible scheduling of Founder’s Day at Theta Nu.
  5. (KIM) Get addresses for Julie, Krissy, Pat and Heidi for thank you notes
  6. (LINDSAY) Get bid for bathroom remodel, order paint and then curtains/rods (this is for Dad’s Weekend!!!) through Jill Cunningham for bathroom. (Call Kim for Jill’s contact info.)
  7. (LINDSAY) Order/install museum hooks on all composites on main floor level of Theta Nu. ( at least 5)
  8. (KALLIE) Look into money market / CD for partial/all monies in main checking acct.
  9. (LINDSAY) Purchase 2 plants for Penny/Kim at DDD for delivery on 9.11 Also purchase candy and a cutsie container to bring down candy for girls…Costco!
  10. (KIM) Check with Penny on tulips in front yard… are there any? If not Lindsay will buy them at Costco.

Update from Nicole Hughes

: Collegiates will be notified by mail TODAY (Monday)

: Theta Nu has been on probation 3 out of past 5 years, ongoing issues

: 60 members stated they may not come back

House Problems Reported

: Drinking glasses have been stolen

: EVERYTHING from the lounge was taken

: Two composites were taken

: One door damaged (Kallie will look into this)

: Press charges with boys that have supposedly stolen and/or girls

: Theta Nu…how to coordinate the House to continue:

o Clearing Up of any rumors

§ We never voted for house to close or withdraw the charter

§ Chapter Officers: after the team visited no officers were removed. Standards committee was discontinued

§ Chapter has been on probation 3 out of last 5 years with the university

§ University has expressed grave concern over the chapter on various occasions, including the President

§ We have concluded after all we have heard from chapter and university, CEO has visited, Nicole and Jacey also visited the chapter. Regular conference calls have been occurring as well. It’s not just this one event that caught our attention.

§ We could have made a quick decision to withdraw the charter, but that was not our intention.

§ Individual discipline for some members, there are some members who have been model members and were not included in the recent issues.

§ The University is waiting on our move… the University reserves the right to prosecute on their behalf. WSU has put in a value statement and student conduct policy. They take a strong position on these, even stronger than we do.

§ Student Conduct Board… at WSU and DDD Executive Board have been communicating. They will support what DDD does, but don’t intend to place addl. punishment.

§ Member meetings last week, they were some members that articulated their willingness to continue with DDD. (31 to be exact; 4 however have signed leases…)

§ Formal Recruitment will be extremely important for our initial success (28-32 women at Rush)

§ Collegiate Chapter Support Team… can we even keep the chapter house open with this low of membership. Mary Margaret was contacted about the budget and how to do a, “reduced rent structure”.

§ Rebuild Theta Nu for one whole year, and hopefully be back up to full membership after the year.

§ May 26th –girls must decide whether they’ll be returning by.

§ Many officers were unwilling to fulfill the obligations of membership, and stated so.

§ Officer structure…many officers may not be returning, over the summer a nominating committee will form and officers will be selected.

§ Many members stated they were not able to meet membership and intend to drop out.

§ No members have been terminated, no officers removed.

§ Concern with WSU Greek life in general, increase in scholarship standards, etc, Need for Greek leadership, currently leadership is being sought by non-Greeks, we need to market the Greek system – and Tri Delta, encourage members to promote positive recruitment, leaders at large feel this is attainable, amount of effort this will take lies on the current members shoulders. Board is committed to keeping this chapter going! The chapter has to want to change, nationals feels there are members currently involved that have this want.

§ Budget Issues: As low as possible, “rent structure” $2800 a semester, $1124 is the house bill so girl’s money will go to the bills first.

*Will parents be notified of their daughter’s behavior? No, plan to send letters to alumnae however Theta Nu alumnae will be notified, encouraging their support. Please contact Tracy if you would like to help with Rush.

*How do notify alumnae of these decisions? Letter/email will be sent out.

*Are the letters going out asking if the girls want to stay? YES

*Are their decisions based on the one on one interviews with members last week? Good and bad? Yes

Do we suspend all chapter improvements? YES

TO DO LIST:

1. We need to claim the damage deposits. If girls drop their pin, we should collect their deposit.

2. Damage Deposit should be monitored by Treasurer. We need a plan in place for new Treasurer.

3. Talk to Nationals about current treasurer, how to address damage deposit, who collects it, what about the trash, why isn’t the house paying for extra cleaning costs?

4. Newly elected positions need specific job details.

5. Only needed improvements will be done to house… door jam, carpets cleaned, drapes and windows cleaned and hardwoods refinished for now.

6. New Officers need to sign at bank.

Dear Theta Nu Alumnae:

House Corporation Members met on Monday, May 8, 2006. At this meeting we had a conference call with Executive Office, EO and talked with Nicole Hughes,Collegiate Chapter Coordinator/West, and LuAnn Riegl, Executive Board. We would like to inform all alums the following information:

1. Theta Nu will not be closing. At no time did Executive Board pull the Theta Nu charter.

2. Executive Board intends to continue our chapter at WSU.

3. Members of the four person team from EO met with each member separately Theta Nu during the week of May 1st.

a. No members have been terminated, no officers removed.

b. During these meetings many collegiate members indicated their desire to terminate their membership.

c. Collegiates will receive a letter from E.O. in regards to their own personal decision to remain a member of Theta Nu, by abiding by the bylaws of DDD and student conduct policy of the Greek System at WSU. These responses are due back by May 26th. Individual collegiate discipline will be forthcoming based on E.O. decisions.

4. As House Corporation of Theta Nu we own the house and its contents. We will work with the officers, advisors and House Director in this capacity. We are not in the position to share any other details or events surrounding recent incidents at Tri Delta.

At this time we are asking any available alumnae to consider assisting with Recruitment (aka..Rush) at Theta Nu in August. It is vital to recruit members that understand the values and ideals of Tri Delta and are willing to support those ideals during their collegiate career.

On behalf of House Corporation I would like to thank each and every member for your sincere passion and dedication to our sorority. Your concern, phone calls and emails have been appreciated.

We would also like to acknowledge the amazing efforts of Tracy Jewett and Stephanie Stirling, our alumnae advisors at Theta Nu.

House Cor Meeting Minutes

Pullman, Wa.

Aug. 13, 2006

Members Present: Carolyn Lineback, Kim Montecucco, Wendy Repovich

Special Guest: Michelle Popp Shimberg-National Fraternity President DDD

*Nationals will be sending out a letter to alumnae after Recruitment is over. They had not sent one as of yet, because they were wanting something positive to put in it as well.

*Michelle will be meeting with the University about security issues at the house. She will also meet with Anita about allowing more ladies to move in then what is normally allowed.

  • She informed us that a “Theta Nu” underground group has been formed by some of the no longer members. Their slogan is Theta Nu= “absolute” perfection
  • Some trouble with old members threatening the house…nothing had or has happened so far however.

UPDATE FROM HEIDI:

  • Heidi- the DDD Pullman Officer shared that WSU students can receive “Strikes” for harassment, etc. and this really works effectively. These strikes can then equal being kicked out of school.
  • She will work on getting a list of old members that may be of some threat so that if there is trouble a restraining order can be created.

*Some ideas mentioned… surveillance camera, Security stickers, motion sensor

*Other Info from Michelle:

  • She felt that the women may have trouble making quota for Recruitment
  • But…. 15 dedicated women want to be tri-deltas and are dedicated to making this happen!
  • We NEED 40-50 women recruited to be able to pay rent next year.
  • The alum letter mentioned at our Spring Meeting was brought up…Michelle said this letter has been hard to do because of the negative PR associated with what happened at WSU. The letter will be sent out after Recruitment to all Theta Nu alums with current addresses.

WHAT CAN ALUMS DO TO BE SUPPORTIVE?

  • Positive emails
  • Supportive Notes
  • Positive interaction with the girls…coming down, visiting, etc

NATIONAL NEWS:

  • So appreciative of House Cor. Payment of rent for the year. Theta Nu could not have made it otherwise.

HOUSE COR DUTIES:

  • Need to meet/talk with ladies about how to conserve heat etc. for the year. (i.e. Should they be living in senior additions?)
  • Replenish our $43,000 donation through fundraising (2007-2008 school year) Contact Michelle Shimberg for fundraising ideas when ready.
  • Think about sponsoring the current seniors for “Life Loyal” Membership ($295per girl)

*Avista bill had not been paid since June. Theta Nu had just received the checkbook and would pay the $900 balance.

*Kerri Jo Motley offered her husband’s service of sand blasting a new DDD sign out front for cost. Call her if we’re interested. (There has been some damage to this sign, nothing real noticeable however)

THETA NU HOUSE COR MEETING MINUTES

July 17, 2006

AGENDA:

Theta Nu Update: 6 live ins, 10 live outs

Fundraiser Idea for Alums-money to pay for the cook

CONFERNCE CALL NOTES:

Live outs pay out of expenses…. utilities bill during school year is paid by chapter Estimate tower utilities bills by closing part of house

Garbage fixed expense? We think it is based on dumpster fee monthly

Chapter has been in the process of reorganizing over the past couple months

Appointed 6 leaders – Pres, VP CD (chaplain), VP Finance, VP Membership, House Manager, Pan Rep – deemed as critical areas for chapter to get things going – recruitment, housing, finance, etc to start house off running when they return in August

Started to work in parallel in diff. pieces of fraternity – recruitment specialist out of nationals, field consultant visiting during recruitment – strategies – details that need to be done

Lora moving forward financial area, get checking acct turned back over –

House Manager on board to think about where people will be moving – how do we conserve on utility costs, how do we manage a house built to house 65 members

Pan rep focused on PR side of things – PR education track, working on redefine Tri Delts on campus

Trying to get chapter to a point quickly to replenish chapter membership

Overall plan is One Year chapter replenishment plan – 36 women, and then Sept and Oct to have continuous open bidding – 30 women is goal to be competitive

Numbers today are lower than initially expected, 31 women said they would come back to be a more quality organization. 7 confirmed live in list, 12 confirmed live outs, 5 or so will conform their live out status…… around 20 members

What can HC do to sustain itself w/o rent from chapter or waiving a year’s rent to provide short-term relief? Get them thru this year to replenish chapter. How can we work together to rebuild?

Still receive 415,500/year – capital improvements, new members//initiation fees 7000 Dec the rest in May, current numbers where they are now. Projected numbers for recruitment…needing 55 in the fall and 15 during spring recruitment.

Women will be set up to be as successful as possible.

If in fact numbers are not made in August, severe budget cuts would then happen.

House Cor. WILL be waiving rent for 2006-2007 in the amount of $43,000.

Alum donations to HC – earmarked for biggest needs – meals at certain events, etc.

Nicole waiting for a callback regarding donations…challenge is fundraising to supplement member living costs…alums often want to gift to chapters or HC Organizations….don’t want to conflict with our philanthropic events

Working w/EO to coordinate with funneling monies – like damages from last year, recruitment…. let HC deal with that…waiting on approval from EO

Collegiate and Alum requests for Recruitment go through Stephanie Sterling…over the course of this week, the recruitment chair should come up with a laundry list of things they need help with – specific dates/times, etc. then send thru Stephanie Sterling, then she will distribute explaining needs and try to fill in spots.

HC has rec’d 9 payments from chapter for rent

Chapter has not reimbursed HC for Avista….Lora will work with Kallie on getting chapter settled on bills…most bills have been going through EO and have been paid. Chapter owes $3783.68 owed to Lindsay Pierce at EO – will get in contact with Kallie to finalize outstanding bills.

DDD damage deposit goes to Chapter account and never transferred to HC. Matter of everyone sitting down and negotiating…infrastructure/ normal wear and tear = HC Individual chapter is responsible for vandalism, etc.

Regarding moving out and trash removal – a few years ago discussed with past HC and decided to try and charge individual members.

Need to re-evaluate member check – in – currently pay $75 when they move in and then credited back at the end of their collegiate years. Need house manager to follow thru with room checks. Develop check in forms. Matter of someone doing it…..Lora and Nicole will assist in explaining policies and enforcing polices….Due Diligence

HC requesting connection with Nicole Jordan – House Manager – starting relationship to organize the house, etc. Jenn will expect contact

In talking with Dana (President) went to house and observed windows broken and graffiti on the walls. Kim will follow up with Penny regarding possible damages

RECAP:

Agreed to waive rent for the year for HC

Recruit 30 women in August, 30 in Fall, 30 in Spring

Women Capital Improvement fees, new member and initiation fees – est. $19,000

Series of checkpoints to re-evaluate amount of money returned to HC - moving in the right direction

Nicole plans on being in Pullman for 4 days – Aug. 11 or 12-15th. Recruitment 10-13th, 14-19th. Move in Aug 9th. Bid day 19th.

Extension team plans on coming 13-15th – make presentations to University and Panhellenic – quality and upbeat about Tri Delta membership – inspiring, energetic – we will use them to help members build skills. Part of Extension Team is Michelle Schimburger, Fraternity President will be visiting as well.

Lora will be financial advisor as well for chapter so if there are any other questions or request please ask and she’ll help us out.

TO DO…DUTIES:

  • ALL to inform DDD alums of need for help in August at THETA NU as well as pass the word on gathering donations for a cook or other expenses

  • Lindsay to check on curtains for shower entry in main bathroom. We would like something new for girls. We’d also love to pursue possible shelves in bathroom tub area second semester. (see how things go first!)

  • Kim- check in with Penny on current vandalism (window already ordered), Penny said all is ready at the house for return of girls. Tiffany was going to come down to help put up pictures.

  • Lindsay to check into purchasing Museum hooks for all composites.

  • Kallie/Jenn to set up fundraising account at US Bank to keep monies separate.

  • Contact Stephanie Sterling on when any alum can help during August.

  • Kay-could you update Jenn and I on National duties as far as turning in minutes, etc/

  • September visit set for Sept. 11th…(could change however) hopefully present a check from alum donations.
