May Minutes

Agenda items:

q Walk through House

q Meet with Kim Antoine, new House Director

q Meet with Kadja to assess cleaning progress

q Meet with Wendy Mackleit to see paint colors/fabric samples for painting and living room furniture

q Take pictures of main bathroom and discuss remodel plans from architect

q Purchase additional vacuums for House as requested by collegiates in August

Temporary Timeline of Events:

q May- obtain financing, secure bid with Carolyn’s Family, hardwoods(ASAP?)/carpet cleaning(July) scheduled

q June-bathroom remodel to start, Nationals contacted to inform of remodel, pick up old living room furniture (Craig’s list?), painting day(S)

q July-carpets cleaned

q August- new furniture to arrive, bathroom completed, all rooms painted as requested by Parent’s club, House Cleaning??

o Need to fix bathroom sink/fan

Painting/Furniture Update

q Living room furniture approved w/addition of another set of polka dot pillows for accent

q Paint approved in dining room/living room/foyer/staircase and main floor bedrooms. Suggested brightening or darkening the hues in the bedrooms for a more dramatic/sunny effect.

q Lynn/Wendy/Cammie- Parent’s Club representatives. Wendy present along with hubby/daughter (DDD collegiate) to give ideas/input about paint and fabric. So appreciated!

q June 21/22 slated as painting days

q Mr. Mackleit offered to make sure all rooms get painted by August that are not completed during paint weekend.

q Question- can PC help girls with fundraising?

  1. Kallie- Contact Kim(HD) to give her the contact info on carpet cleaning/hardwood floors for scheduling
  2. Kallie- round up financial info and get to Carolyn ASAP

List of Questions to ask from H.C.to Nicole:

1. When do we have the ability to raise rent?

2. Who is in charge of tuning the piano?

3. Who is in charge of fixing the keyboard cover on the piano?

4. Who is in charge of buying more vacuums?

5. What is supposed to be in the apartment the house mom stays in as far as

furnishings?

6. Is it okay for HD to have her son visit and spend the night during

breaks when the girls are not there?

7. Is she allowed to have him stay over on a Cougar football game night?

7. Girls did not plan for summer cleaning…please advise.

Answers from Nicole:

1. The House Corporation has the ability to raise rent in the spring of

every academic year. According to the HC Calendar - they list "winter" as

the time for the HC to evaluate their own budget and financial needs,

determine rent for the next academic year and present it to the chapter. The

collegiate chapter builds it's budget in March and April so, so any increase

in rent needs to be presented to the chapter early on in the Spring Semester

(Late Jan or Early Feb). Also, the VP/F, when she is working with the

Financial Specialist to build the budget should have contacted the House

Corporation to ask for the rent amount for the next year.

2. House Corporation would be in charge of tuning the piano - unless it is

in disrepair because of the chapter members. But regular maintenance and

upkeep of the facilities and furnishings is the responsibility of the House

Corporation.

3. HC would fix the keyboard cover on the piano - unless it looks like it is

in disrepair because of mistreatment by the chapter members.

4. HC buys the vacuums. This would be considered a household appliance - the

chapter doesn't budget for this.

5. The HC should have an inventory of furniture in the HD Apartment. It is

up to the HC to determine how they want to furnish the Apt.

6. It is up to the discretion of the House Corporation as to whether Kim can

have her son stay with her during breaks when the members are not there.

7. Kim's son will not be allowed to spend the night at the chapter house

while school is in session. Our Fraternity policies state that the facility

must be closed to male guests for a minimum of 6 hours per night. This is

not an option for the chapter. The only circumstance where men may spend the

night at the chapter house is during the university's Dad's weekend.
