March Meeting Minutes

Listed Below are items discussed at the February/March Visit to Delta Delta Delta:

CHECK OUT: list to be completed before girls leave in May, turn in to Kelly until she leaves then turn in to Penny England (Email Kelly about staying until all girls are gone, MM would like damage deposit returned each year and the check would not be returned in the below checkout was not returned to Kelly. Girls could just keep the check and hand it back to House Manager in the fall if desired. Kim will email.)

Extra garbage cans to be purchased and put out in breezeway (Action Needed-Chpt or House Cor?-Chpt may purchase addl garbage cans if desired, MM recommended handing each girl a heavy duty black trash sack-Kim will email Kelly)
Penny to request extra garbage pick up during this week before and during final weeks for each semester here on out. (Action by Penny)
Damage Deposit: girls to fill out damage report at beginning/end of semester and room changes (this will be kept in notebook for house managers) Damage deposit will be deducted from the girls equally for “common area” damage in the rooms and individual deductions for “individual area” damage. (To be put in effect, Fall 2006-Action:Kelly to draft a sample room sheet for girls to complete for damages each room change; check with Kelly in regards to this document’s completion, as well as an idea was noted to have the girls check with other houses as to their check out procedures and/or deposits-Kim will email Kelly)
**Incentive reward… $25 drawing, eligible for turning in your checklist (Action Needed-will House Corp supply this--NO)

SUMMER CLEANING: Penny-- idea to have Kim, the cook, help with cleaning in June, current housekeeper will not be available in July. (Penny will check on this, MM to follow up about $3,000 summer cleaning salary)

Long Range Planning IDEAS: (The DDD Girls “Wish” List)

: Downstairs sleeping porch –paint (pick me up!)
: Laundry Room Sink…downstairs (Jenn and I looked at it…it’s really pretty gross looking, are there split laundry sinks that would fit that space?)
: Chapter Room Addl’ Dryer- MM thinks chapter currently leases the current washer/dryer in the Chapter Room, so the Chapter could check this addition from their budget. House Cor would then check into addl dryer electric outlet
: Possible shelving options in chpt room storage area (MM suggests girls to clean these out every year before leaving for summer, not an option to leave “stuff” each summer-Kim/Jenn to clean out room in May after girls have left and ascertain the need for addl. Shelves)
: Second Floor Bathroom PLEASE! Lindsey has two color schemes for the bathroom, we could maybe even let the chapter pick it!! What do you think Lindsey?
Lindsey plans to do some measuring and checking out of current bathroom on the April 18 visit. She plans to work out a budget of $6,000 a plan B of $7,000 and a plan C, at $9,000. Color palettes consist of a browns, cream, blue or green with cream tile. Lindsey plans to put up curtain rods above shower entries with tieback curtains to obtain the “spa” feel. Cool! Plywood to be put over current bathtub, with an addition of shelves for girl’s belongings; a current phone booth will be used for cleaning supplies. Metal cubby shelves to be removed from behind sink area and tiled. Lindsey to check into pricing for re-painting of bathroom stalls. We would love to be able to re-tile bathroom floor!~! Finally, possible purchase of a cover for the heater.

INCREASE: voted by Chapter-2006
¬Rent increase from 3% to 5% for 2006-2007 – (reviewed annually) Another idea mentioned was to check with other houses on our campus to see how much their rent is. (Wendy, could you check this out?)
¬Capital Expense (building fund fee) increase from $20.00 to $30.00 to be revisited in two years
¬Damage Deposit from $50.00 to $75.00 to be revisited in two years (added the Grandfather Clause…this increase to effect new incoming members only) We discussed having this deposit raised to $150 with a portion non-refundable to start to cover for summer cleaning costs for next time!!
¬H.C. Board will pay repairs/damages in excess of $250 all others will be the responsibility of the chapter


Check on status of painting sleeping porch-idea from girls in the Fall (Add to Wish list?)

Mother’s Club to decorate/fix up Breezeway Lounge- Lindsey to call Mrs. Kight to check on Lounge plans. Did House Cor in fact commit to the flooring or could we use that money towards the bathroom?
Last item discussed were offices. POSSIBILITIES ARE: Jenn/Kim-? president. Kallie, Lindsay to think about treasurer. Kallie to check with another sister to see if she’d be interested in joining our cause and maybe doing treasurer. Kay, should we have another meeting to slate? What has been done in the past for meetings for the year? Thanks everyone! J Kim


Last but not least…the To-Do List for the April Visit. Please email Kelly if you can attend, they’re planning for a 2pm departure on April 18th. Has the House been contacted about this visit?
: Breezeway Lounge, carpet or pergo?
: Laundry sink- replace? Get rid of? Re-plumb washer into drainpipe?
: Cubby Area-bathroom (done?- mold damage?)
: Bathroom Stall Color/Measurements- currently
: Look at steps down breezeway stairs, rubber to be done?
: Living Room/Dining Room-does the floor need to be refinished or it could it wait a year so more monies could be allocated towards bathroom?
: Chapter Room Dryer-is there space for another, is there proper outlets available?
: Composites…where are they being stacked? Chapter Room?
